Special Events & Alcohol Use Policy (PDF)
Purpose
To establish guidelines for the limited service of alcoholic beverages at Board-approved fundraising
events that directly benefit the East Greenbush Community Library.
Policy
Alcoholic beverages may be permitted only at fundraising events held for the benefit of the Library. Any alcohol service must be formally approved by the Board of Trustees prior to the event. Approval of one event does not constitute authorization for future events. This policy does not apply to regular library programming, meeting room use, or private rentals.
Requirements
The event sponsor must:
- Hire a licensed vendor and ensure that all required permits from the New York State Liquor Authority are secured.
- Comply with all applicable laws governing alcohol service.
- Provide proof of liquor liability insurance naming the Library as an additional insured, by all entities involved.
- Provide written indemnification protecting the Library, its Board of Trustees, officers, and employees.
Alcohol service must:
- Be limited to designated areas approved in advance.
- Be restricted to individuals 21 years of age or older with age verification.
- Conclude at least 30 minutes prior to the end of the event.
The Library Director or designee may suspend or terminate alcohol service if policy conditions or laws are not met.
